DOCUMENT CONTROL
Current. Controlled. Distributed. Traceable.
A defined process for keeping drawings, specifications, revisions and project records synchronized so the team is working from the correct information.
| SERVICE | COMMERCIAL POSITION | BEST FIT |
| Document Control | Included within Project Engineering Support | Projects with active revisions, multiple trades and a need for one controlled source of truth |
1. What This Service Does
Document Control is not clerical filing. It is the control of revisions, distribution, traceability and the project record so the field and management team know what is current, what changed and who received it.
Remote Project Engineer maintains the controlled project record for drawings, specifications, addenda, ASIs, sketches, RFI responses, submittal responses, transmittals and related project correspondence. The objective is one reliable source of truth and a traceable revision history.
2. Why It Matters
Projects become exposed when people are working from old PDFs, text-message attachments, superseded drawing sets or uncontrolled folders. A single missed revision can create rework, disputes, schedule impact and backcharges.
RPE controls the information lifecycle so revised information is identified, processed, synchronized and distributed before it becomes a field problem.
3. What Is Included
- Maintain current and superseded drawing / specification status.
- Update Master Drawing and Specification Registers.
- Slip-sheet revised drawing sets where appropriate.
- Archive superseded documents with clear identification and retained revision history.
- Cross-reference related RFIs, submittals, ASIs, sketches and other directives.
- Maintain controlled naming conventions and project folder structure.
- Issue formal electronic transmittals to affected parties when authorized.
- Track acknowledgments and preserve proof of distribution.
- Support work-plan document readiness by verifying current supporting project documents.
4. How the Process Works
Every revision follows the same controlled path: Intake → Audit → Control → Sync → Distribute.
5. The Five Questions RPE Should Always Be Able to Answer
- What is the current document?
- What did it supersede?
- When did it change?
- Who received the revision?
- Where is the controlled record?
6. Responsibilities and Handoffs
RPE controls the information lifecycle. The Project Manager and Superintendent retain field execution, technical, commercial and means-and-methods authority.
| RPE CONTROLS | CONTRACTOR / DESIGN TEAM RETAINS |
| Revision registers, current vs. superseded status, controlled folders, transmittals, acknowledgments, revision history and proof of distribution. | Engineering design decisions, technical approval, field clash resolution, commercial authorization, pricing, means and methods, site execution, safety and inspections. |
7. What You Receive
- A controlled current drawing / specification record.
- A traceable history of revisions and superseded documents.
- Updated drawing and specification registers.
- Formal electronic transmittals identifying what changed and who received it.
- Proof of distribution and acknowledgment tracking where required.
- A synchronized project record across the agreed project platform and controlled archive.
8. Systems and Platform Use
RPE works inside the contractor’s approved environment. If the client uses Procore or Autodesk Construction Cloud, that platform remains the official client-facing record. If the contractor does not use a formal construction platform, RPE can establish a controlled cloud-folder structure and approved tracking workflow.
The platform can change. The control objective does not.
9. What We Need From Your Team
- Timely access to revised project documents and authorized project platforms.
- Identification of affected project parties / trades where distribution is required.
- Prompt PM or Superintendent direction when a revision creates a field, commercial or sequencing question.
- Notification when project communication protocols or authorized distribution lists change.
10. Service Boundaries
- RPE does not make engineering design decisions or provide technical approval.
- RPE does not resolve field clashes or direct means and methods.
- RPE does not authorize pricing, commercial positions or change-order dollars.
- RPE does not perform physical jobsite posting, printing, inspections or safety management.
- RPE does not direct subcontractor field work.
