PROJECT COMMUNICATION
Action Items & Coordination
| SERVICE | COMMERCIAL POSITION | BEST FIT |
| Project Communication | Included within Dedicated Project Engineer | Projects where open actions, commitments and follow-up are getting buried across email, meetings, vendor calls and project platforms |
1. What This Service Does
Project communication is only useful when it turns into action. RPE captures administrative action items from project emails, meetings, vendor commitments, transmittals and other approved project communication, assigns them to the correct responsible party, tracks promised dates and keeps the PM / Superintendent informed of unresolved items.
The goal is not more reporting. The goal is a visible action trail showing what needs to happen, who owns it, when it is due and whether it is closed.
2. What RPE Coordinates
- Administrative action items created by project meetings.
- Subcontractor and vendor commitments requiring follow-up.
- Document requests, acknowledgments and outstanding responses.
- Open project-engineering items requiring coordination between multiple parties.
- Required dates, promised dates and current status.
- Items that need PM / Superintendent review, signature, field verification or commercial direction.
- Final resolution / response distribution and filing.
3. How the Process Works
The actual customer workflow is: Project Input → Action Capture → Coordination → Follow-Up → PM Gate → Close the Loop.
4. Action Item Register
RPE maintains a controlled action-item record so commitments do not disappear into individual inboxes. Typical fields include:
- Action-item number / project reference.
- Source: meeting, email, RFI, submittal, vendor, field or other approved communication.
- Action required and responsible party.
- Date opened and required / promised date.
- Latest follow-up date and current status.
- PM / Superintendent decision required: Yes / No.
- Resolution / close date and final record location.
5. Communication Principle
RPE handles routine administrative coordination; it does not assume contractor authority simply because it is managing the communication trail. When an item requires a commercial decision, contractual position, field direction or management judgment, RPE assembles the facts and hands the decision to the PM / Superintendent.
6. Responsibilities and Handoffs
Operating rule: RPE controls the action trail. The contractor controls the project decision.
| RPE CONTROLS | CONTRACTOR RETAINS |
| Action capture, responsibility assignment, due-date tracking, routine coordination, follow-up history, status updates, escalation-ready summaries and final record filing. | Field direction, contractual commitments, commercial decisions, client-facing executive positions, priorities, approvals and acceptance of project risk. |
7. What You Receive
- A visible action-item register instead of disconnected email threads.
- Clear ownership and required dates for open administrative actions.
- Routine follow-up without the PM personally chasing every item.
- Decision-oriented escalation when contractor authority is required.
- A traceable communication history showing what was requested, promised and resolved.
- Closed-loop project records that can be retrieved later.
8. What We Need From Your Team
- Access to the agreed project communication channels and project platforms.
- Authorized contacts and communication protocols.
- Clear identification of which matters RPE may coordinate directly.
- Timely PM / Superintendent decisions when an action reaches the contractor-authority gate.
- Notification when responsible parties, communication rules or project priorities change.
9. Service Boundaries
- RPE does not make contractual commitments on behalf of the contractor.
- RPE does not negotiate owner / A&E commercial positions unless expressly authorized.
- RPE does not direct field labor, means and methods or subcontractor manpower.
- RPE does not create unverified field facts to complete an action item.
- RPE does not determine legal entitlement, claims strategy or contractual enforcement.
- RPE does not replace the Project Manager or Superintendent as project decision-maker.
