PROCUREMENT TRACKING
Lead Times & Status
A defined process for tracking approved materials and equipment from release through fabrication, shipment and confirmed delivery information.
| SERVICE | COMMERCIAL POSITION | BEST FIT |
| Procurement Tracking | Included within Dedicated Project Engineer | Projects with long-lead equipment, critical material dates or multiple vendor commitments that must be watched against field need dates |
1. What This Service Does
An approved submittal does not mean the material is actually on order. Procurement Tracking closes the gap between technical approval and the material arriving at the project.
RPE verifies whether the item was commercially released, monitors fabrication and shipping milestones, compares the current vendor commitment against the contractor’s required-on-site date, and flags risk before the field is waiting on material.
2. What RPE Tracks
- Material / equipment description and equipment tag where applicable.
- Specification section and approved submittal reference.
- Manufacturer, supplier, distributor and responsible subcontractor.
- PO / factory order or sales-order number when provided.
- Approval date and factory / fabrication release status.
- Quoted and current lead time.
- Contractor-provided required-on-site date.
- Fabrication and factory-testing milestones where applicable.
- Planned and current confirmed ship date.
- Carrier, bill of lading, freight reference and tracking information.
- Estimated arrival / delivery window and field receiving contact.
- Current procurement risk status and last verification date.
3. How the Process Works
The customer workflow follows the actual procurement chain: Approved Item → Order Release → Fabrication → Shipment → Risk Check → PM Response.
4. The Critical Verification Point
RPE does not assume that approval means fabrication has started. We verify whether the purchase / subcontract release has actually occurred, whether the manufacturer has acknowledged the order, and whether any engineering, commercial or factory hold is preventing production.
- Confirm PO / subcontract release status.
- Capture manufacturer sales-order or factory confirmation information when available.
- Confirm engineering / shop release and fabrication-release status.
- Record unresolved commercial holds without attempting to negotiate them.
- Escalate any mismatch between ‘approved’ and ‘not released to fabrication.’
5. Milestone Tracking — Not Just a Delivery Date
Long-lead items are tracked by milestone, not by repeatedly asking a vendor for one estimated delivery date.
- Engineering / technical release complete.
- Material ordered or allocated.
- Fabrication started.
- Factory testing / QA milestone completed where applicable.
- Crating / staging complete.
- Carrier booked.
- Shipment departed.
- Estimated arrival / delivery appointment confirmed.
6. Procurement Risk Status
| GREEN | Current confirmed milestones support the contractor’s required-on-site date. |
| YELLOW | Lead time or milestone drift has reduced available float and requires closer monitoring. |
| RED | Current vendor / factory / freight information indicates the required-on-site date is threatened or missed. |
| PM DECISION | RPE identifies the exception; the contractor decides how the project responds. |
7. Shipping & Delivery Information
- Carrier and dispatch contact when available.
- Bill of lading / freight reference and tracking number.
- Confirmed ship date and estimated arrival window.
- Vehicle / trailer type when relevant.
- Known offloading needs such as crane, forklift, rigging or laydown requirements.
- Shipment size, quantity and packaging information when supplied.
- Jobsite receiving contact and vendor delivery instructions.
- Delivery alert to the PM / Superintendent through the agreed project channel.
8. Responsibilities and Handoffs
Operating rule: RPE tracks and communicates. The contractor buys, schedules, receives and accepts the material.
| RPE CONTROLS | CONTRACTOR RETAINS |
| Release-status verification, milestone tracking, vendor follow-up, shipping data, procurement register, risk flags and communication history. | Purchase authorization, supplier contracts, payments, schedule decisions, premium freight, substitutions, field receiving, inspection and acceptance / rejection. |
9. What You Receive
- A Master Procurement Register tied to contractor need dates.
- Current vendor / factory status instead of stale estimated dates.
- Visible GREEN / YELLOW / RED procurement risk.
- Early warning when a lead-time or milestone drift threatens field readiness.
- Shipping and delivery information packaged for the PM / Superintendent.
- A documented history of vendor commitments and follow-up.
10. What We Need From Your Team
- Approved submittals and relevant procurement requirements.
- Required-on-site / need dates from the contractor.
- Vendor, supplier and subcontractor contacts.
- PO / release status when commercially sensitive information is not shared directly.
- Approved project-platform or project-email access.
- Field receiving contact and site-specific delivery restrictions.
11. Service Boundaries
- RPE does not issue or approve purchase orders.
- RPE does not negotiate supplier contracts, purchase prices, freight rates or payment terms.
- RPE does not authorize deposits, release payments or stored-material billing.
- RPE does not revise the project schedule or contractual milestone dates.
- RPE does not commit the contractor to premium freight, expediting costs or substitutions.
- RPE does not physically receive, unload, rig, store or protect delivered material.
- RPE does not inspect shipment condition, quantities, serial numbers or transit damage on site.
- RPE does not accept nonconforming material on behalf of the contractor.
12. Commercial Summary

13. The RPE Service Promise
Do not wait until the field asks, ‘Where is the material?’ RPE tracks the chain from approval through release, fabrication, shipment and delivery information so procurement risk becomes visible early enough for the contractor to act.
