PROJECT RECORDS
Documentation & Continuity
A defined process for keeping project information organized, retrievable and traceable so the record survives personnel changes, project handoffs and closeout.
| SERVICE | COMMERCIAL POSITION | BEST FIT |
| Project Records | Included within Dedicated Project Engineer | Projects where files, logs and correspondence need one controlled structure that remains usable across the life of the job |
1. What This Service Does
Project records become a problem when information exists but nobody can reliably find the right version, the supporting history or the final record. RPE maintains the electronic project structure so active records are identifiable, historical records remain retrievable and the PM, Superintendent or future project team can understand what happened without rebuilding the job from scattered folders and inboxes.
2. What RPE Maintains
- Consistent project folder hierarchy aligned with the contractor’s approved system.
- Predictable file naming conventions for incoming records.
- Separation of active / current records from archived or superseded information.
- Project registers or indexes where the project requires them.
- Controlled locations for RFIs, submittals, revisions, changes, work plans, testing, minutes, correspondence and closeout records.
- Cross-references between related project records when useful.
- Historical records preserved for traceability rather than deleted simply because they are no longer current.
3. How the Process Works
The customer workflow is: Receive → Organize → Control → Cross-Reference → Retrieve → Preserve Continuity.
4. Current vs. Historical Record
RPE does not solve record control by deleting old information. Current records must be clearly identifiable, while prior revisions, superseded documents and historical correspondence remain available when the project needs to reconstruct a decision, distribution history or prior condition.
- Current documents stay in the active project location.
- Superseded records are clearly identified and moved to the designated archive.
- Revision / status history remains traceable.
- Final records are organized for turnover and long-term retrieval.
5. Documentation Continuity
The value is continuity, not simply cleaner folders. When a PM, PE, Superintendent or vendor changes, the project should not lose its administrative memory. A controlled project record gives the incoming person a reliable history of what is current, what changed, what was issued and where the supporting information lives.
6. Responsibilities and Handoffs
Operating rule: RPE maintains the record. The contractor retains authority over the project and the decisions documented in that record.
| RPE CONTROLS | CONTRACTOR RETAINS |
| Folder structure, file naming, indexing, active-versus-archive separation, register maintenance, cross-references, retrieval and historical record preservation. | Project decisions, field execution, technical acceptance, contractual positions, commercial authority and approval of how project information is used. |
7. What You Receive
- A consistent electronic project record instead of scattered personal filing habits.
- Clear active and historical record locations.
- A retrievable history of project-engineering documentation.
- Better continuity when personnel change or project responsibilities shift.
- A cleaner foundation for audits, claims support, closeout and future reference.
- Less PM / Superintendent time spent searching for the right record.
8. Systems and Access
RPE works inside the contractor’s approved project environment. This may include Procore, Autodesk Construction Cloud, SharePoint, OneDrive, Box, Dropbox, Google Drive or another approved platform. The platform may change; the control objective does not.
9. What We Need From Your Team
- Access to the approved project platform and project-email channels.
- The contractor’s existing folder / naming requirements where applicable.
- Direction on official-record locations when multiple systems are in use.
- Timely notice of new project personnel, handoffs or changes to record protocol.
- Retention requirements or client-specific record rules that must be followed.
10. Service Boundaries
- RPE does not determine legal record-retention requirements unless separately advised by the contractor’s counsel or policy.
- RPE does not delete historical project records merely because they are obsolete.
- RPE does not certify the technical accuracy of records created by others.
- RPE does not make field, contractual or commercial decisions from the project record.
- RPE does not replace the contractor’s corporate IT, records-management or legal-retention functions.
